eRA Commons – User Registration

Purpose of eRA Commons

eRA Commons is an online interface where grant applicants, grantees and federal staff at NIH and grantor agencies can access and share administrative information relating to research grants. You will use eRA commons throughout the lifecycle of a grant - from application submission to grant closeout.

Who needs an eRA Commons Account for Application Submission?
  • Institutions need at least one eRA Commons user with the Signing Official role. We recommend having more than one SO user to ensure back-up for eRA Commons tasks requiring signature authority.
  • The following types of individuals also need Commons accounts, as their eRA Commons credentials (Commons ID) are  included on applications:
    • Project Director/Principal Investigator (PD/PI) and any multiple-PD/PIs
    • Sponsor on a fellowship application
    • Component leads on a multi-project application
    • Candidates for diversity supplement support
    • Primary mentor identified on individual mentored career development applications
  • If you use ASSIST to prepare and submit your application, anyone who will be working in ASSIST needs an eRA Commons account.

Targeting grant application submissions for due dates on or after January 25, 2022, NIH will require all seneior/key individuals listed on the R&R Senior/Key Person Profile (Expanded) Form to have an eRA Commons username (Commons ID).

Who needs an eRA Commons Account for Progress Reporting?
  • You must include eRA Commons credentials for personnel with the following roles who participate in a NIH funded project for at least one person month:
    • Project Director/Principal Investigator (PD/PI) and any multiple-PD/PIs
    • Undergraduate
    • Graduate Student
    • Postdoctoral
  • A Commons ID is encouraged, but currently optional, for all other project personnel. A general Commons Role of Project Personnel is available for those not assigned other Commons Roles.
How to Register User Accounts
  • Work with your eRA Commons Signing Official (SO) or Account Administrator (AA) to establish a new account or add roles or affiliations to an existing account.

  • You should not combine administrative (e.g., SO, AA, AO) and scientific (e.g., PI) roles on the same eRA Commons account. If the same individual serves both an administrative and scientific function, they need two accounts (one for their administrative duties and one for their scientific duties).
  • A researcher’s scientific account follows them from one organization to another. Before creating a new user account with a scientific role (e.g., PI), check to see if the requested user already has an eRA Commons account under a different organization. If so, affiliate their account with your organization rather than creating a new account. 
    • An account can be affiliated with multiple organizations at the same time.
